Getting started as a professional
How to set up PoolHealth for your pool service: clients, pools, schedule, visits and the office, from the free trial to your first client portal.
Before you start
Fill in your profile first. In your profile you must fill in your country and the standards approved in that country. Do this before you add your first pool.
Who this plan is for
The professional plan is for people who look after other people’s pools as their trade or profession.
By buying this plan, you confirm that you hold the certification or qualifications required for this work where you operate. This matters for how the app works. PoolHealth gives calculations and recommendations as decision-support tools. It relies on a qualified person to check the readings, choose the products and decide what to do. We do not check qualifications, licences or insurance.
You also need a photometer and a TDS meter. Test strips give approximate results and do not measure every value PoolHealth uses.
1. Create your account and start the free trial
Every paid plan starts with a 14-day free trial. No card is needed and nothing is charged automatically. If you do not subscribe afterwards, your account becomes read-only: you can still see your data, but you cannot add new records.
One account has one user, and up to 30 pools or hot tubs.
2. Add your clients and their pools
Add each client, then their pools or hot tubs. Fill in the settings of each pool. The calculator depends on them:
- Water volume, in cubic metres. Without it, the calculator cannot work out how much of a chemical to add.
- Whether a stabiliser (cyanuric acid, CYA) is used. It changes how chlorine works in the water, so the calculator has to know.
- Equipment. Fill in what the pool has.
These details let the calculator estimate the chlorine demand of the pool correctly.1
1 The calculator works with ideal figures. It assumes that the equipment works correctly, according to its technical specifications, and that your chemicals have the concentration and strength stated on the label. You can change the chemical values in your profile settings, to match the products you actually use. If the demand is much higher or lower than expected, that is a reason to check how the whole system is working.
3. Give your clients a login
Client accounts are free for your clients. Each client gets their own login, where they see their pools, visits, readings, photos and reports, and can write to you.
You choose which report blocks each client sees, and whether a client may log visits. Both are set for each client separately.
4. Set the schedule
Service can be as flexible as the pool needs: once a week, twice or five times. Every pool has its own days, and you tick what is done. The app checks which planned days were served.
5. Log your visits
Open a visit and enter your photometer readings. A visit also holds the chemicals you added, photos and the state of the pool’s equipment, together with the charts behind them.
Measure the full set once for each pool: pH, free chlorine, total alkalinity (TA), calcium hardness (CH), cyanuric acid (CYA) where it is used, total dissolved solids (TDS) and water temperature. Depending on your country and the problem you are solving, you can also measure and track other parameters, such as sulphates, phosphates, iron and copper.
From the next visit on, enter what you actually measured. Stable values are taken from the last known reading. We ask you to measure all the values again once a month. We recommend measuring total alkalinity (TA) at every visit. Read more in Why PoolHealth calculates the LSI differently.
6. Run the office from the same app
Quotes, contracts and client payments live next to your visits. Payments can be exported to Excel for the year. For each pool you also have rentals and chemical usage. Holiday rentals show each guest stay, so you know when a pool is occupied.
7. Make it yours
Three add-ons, 15 euros a month each:
- Recommendations. The part of PoolHealth that turns your readings into advice for a pool. It adds the What and how much to add block: a dose for today, hints such as “Add N kg”, and a recommendations window in the visit form, in the history, in reports and in the client portal. You can also enter the amount of a chemical yourself and see how total alkalinity (TA), cyanuric acid (CYA) and the other values shift before you add anything. Without the add-on the texts are hidden, but they are saved, and they appear once you switch it on. The decision stays with you.
- Customisation. Your own logo in the app header, the client portal, reports, quotes and contracts, and no “Powered by PoolHealth” line.
- Adverts. A public page of your own with requests from visitors, and a listing in Find a specialist, which owners search inside the app.
Before you dose
PoolHealth gives calculations and recommendations as decision-support tools, based on the values you enter. Before you act on a result, check the readings, the units, the concentration of your product and its instructions. Never mix pool chemicals. Add chemicals in portions and retest.
8. When you grow
The limit of 30 pools is firm: a pool above it cannot be saved. Each extra pool costs 1 euro a month. If you hire technicians, switch to Business basic: up to 100 pools, two specialists and an office manager.
The app works without a signal, and your data is uploaded once you are back online. You can download all your data, tables and photos, at any time.
This guide is general information about using the product. Features and limits depend on your plan.
