How PoolHealth is built: accounts, roles and where everything lives
Pool owners, individual specialists and service companies have different jobs, but the same water. Here is how PoolHealth is put together, who sees what, and why we built it this way.
One system, not three apps
Pool owners, individual specialists and service companies have different jobs, but the same water. So PoolHealth is one system with one structure, and what you see depends on who you are.
The building blocks
Everything in PoolHealth is built from the same few objects:
- Pool or hot tub. The centre of the system. Each one has its own equipment, schedule, location link and photos.
- Visit. A record of what was measured and done on one occasion: readings, chemicals added, photos and the state of the equipment.
- Readings and history. Every visit is saved, so the charts and trends always come from the pool’s own data.
- Client. For specialists and companies, the person a pool belongs to. A client can have several pools.
- Account. The container that holds all of the above and decides who may see it.
Who is who
The system has several kinds of account:
- Owner. Looks after their own pool or hot tub: up to two, in any combination.
- Specialist. Looks after other people’s pools: clients, visits, quotes, contracts, payments, up to 30 pools on one login.
- Business. A company with a team: up to 100 pools, specialists and an office manager.
- Client. A free account that a specialist creates for their customer, so the client can see their own pools, visits, readings, photos and reports, and message the specialist.
What each role sees
Access follows the work:
- A specialist inside a company sees only Maintenance and Tasks, and only the pools assigned to them.
- An office manager sees everything the business sees, including the Office section.
- The account holder of a Business creates the team’s logins and can revoke access at any time.
- A client sees only their own pools. A specialist chooses which report blocks each client sees, and whether a client may log visits.
Where the specialist’s work lives
For a specialist or company the structure repeats on every level: client, then pool, then visit. Around it sit the tools of the office: quotes, contracts, client payments with a yearly Excel export, chemical usage and, for companies, stock, tasks and a journal of income and expenses. They live next to the visits, so nothing has to be copied between files or chats.
Optional add-ons plug into the same structure: Recommendations (what and how much to add), Customisation (your own logo everywhere) and Adverts (a public page and a listing in Find a specialist).
Why we built it this way
- Transparency. We have no reason to show you numbers that a client is “supposed” to see. The readings you enter are the same data PoolHealth uses to calculate for you, so what you see is what the calculator works from. They are not there only for a report.
- A pool is more than pH and free chlorine. As professionals, we know that disinfection and the condition of a pool depend on many factors. In our experience, the condition of a pool is too often judged by pH and free chlorine alone, and scale is accepted as a normal state. PoolHealth calculates from the wider picture: alkalinity (TA), calcium hardness (CH), cyanuric acid (CYA), dissolved solids (TDS) and temperature. It also keeps in view the equipment, the pool surface, the chemicals used and so on. We do not claim to remove such problems. Finding and fixing them remains the specialist’s job. What PoolHealth sets out to do is make pool maintenance simpler.
- One structure for everyone. An owner, a specialist and a company use the same pool and visit records. That is why an owner can hand a pool over to a specialist, and a client can move to an Owner account, without starting again.
- Roles instead of permissions screens. People in a team should see what they need to do their work, nothing more. That keeps the app simple for a technician and gives the owner control.
- It works without a signal. Many pools have none. The app still calculates, and the data is uploaded once you are back online.
- Your data stays yours. You can download everything, tables and photos, at any time.
- The decision stays with you. PoolHealth calculates and recommends. The person responsible for the pool decides.
