Getting started as a service company

How to set up PoolHealth for your company: your team and its roles, clients and pools, tasks, stock and the office, from the free trial to the first assigned job.

Before you start

Fill in your profile first. In your profile you must fill in your country and the standards approved in that country. Do this before you add your first pool.

Who this plan is for

The Business plan is for companies that look after other people’s pools as their trade or profession.

By buying this plan, you confirm that you hold the certification or qualifications required for this work where you operate. This matters for how the app works. PoolHealth gives calculations and recommendations as decision-support tools. It relies on qualified people to check the readings, choose the products and decide what to do. We do not check qualifications, licences or insurance.

Your specialists also need a photometer and a TDS meter. Test strips give approximate results and do not measure every value PoolHealth uses.

1. Create your account and start the free trial

Every paid plan starts with a 14-day free trial. No card is needed and nothing is charged automatically. If you do not subscribe afterwards, your account becomes read-only: you can still see your data, but you cannot add new records.

Business basic covers up to 100 pools, two specialists and an office manager.

2. Add your team and set roles

You create the logins for your team and can revoke access at any time. Each person gets a role that keeps them to their own work:

You decide who joins the team and what they can see. When someone leaves, remove their access.

3. Add your clients and their pools

All your clients are in one list, each with their pools. You can search by name, email or phone.

Fill in the settings of each pool. The calculator depends on them:

These details let the calculator estimate the chlorine demand of the pool correctly.1

1 The calculator works with ideal figures. It assumes that the equipment works correctly, according to its technical specifications, and that your chemicals have the concentration and strength stated on the label. You can change the chemical values in your profile settings, to match the products you actually use. If the demand is much higher or lower than expected, that is a reason to check how the whole system is working.

Client accounts are free for your clients. Each client gets their own login, where they see their pools, visits, readings, photos and reports, and can write to you. You choose which report blocks each client sees, and whether a client may log visits.

4. Assign pools and tasks

Give each pool to a specialist. A specialist can have up to 50 pools. Every pool has its own schedule: once a week, twice or five times.

Give each job to a person, with a deadline and a status. The app sends push reminders for what is due today and what is overdue.

5. Log your visits

A specialist opens a visit and enters photometer readings. A visit also holds the chemicals added, photos and the state of the pool’s equipment.

Measure the full set once for each pool: pH, free chlorine, total alkalinity (TA), calcium hardness (CH), cyanuric acid (CYA) where it is used, total dissolved solids (TDS) and water temperature. From the next visit on, enter what you actually measured. Stable values are taken from the last known reading. We ask you to measure all the values again once a month, and we recommend measuring total alkalinity (TA) at every visit. Read more in Why PoolHealth calculates the LSI differently.

6. Watch the stock

Keep chemical and equipment stock in the app: levels, prices, suppliers and a movement log. Set a low threshold for each item. When the stock falls below it, the app creates a task, sends a push and keeps reminding until the task is done. You can add your own chemicals to the standard list.

Chemical use changes with the season, so the app reminds you two to four times a year to review your thresholds.

7. Run the office

The office manager works in the Office section: quotes, contracts and client payments, with a yearly export to Excel. A journal of income and expenses gives you a report you can download in Excel. Your specialists also have a private chat inside the company.

8. Make it yours

Three add-ons, 15 euros a month each: Recommendations, Customisation and Adverts.

Before you dose

PoolHealth gives calculations and recommendations as decision-support tools, based on the values you enter. Before you act on a result, check the readings, the units, the concentration of your product and its instructions. Never mix pool chemicals. Add chemicals in portions and retest.

9. When you grow

The limits are firm: a pool above the limit cannot be saved. An extra specialist costs 25 euros a month and adds one specialist login and 50 pools. A pack of 50 pools without a specialist also costs 25 euros a month. Single extra pools cost 1 euro a month each, so from the 26th the pack is cheaper.

The app works without a signal, and your data is uploaded once you are back online. You can download all your data, tables and photos, at any time.

This guide is general information about using the product. Features and limits depend on your plan.
